Membership IDs and Member ID Cards
Give every member an ID in your own format, choose who can download their ID card, and how a card is checked by scanning it.
Each member can carry a membership ID in your association's own format, for example CKC-04-4821. The ID appears on the member's profile and on their ID card. The card carries your association's full name, logo and colours, and a QR code that anyone can scan to check the card.
Setting your ID format
Go to Settings → ID Card → Membership IDs and choose:
- Prefix: the start of every ID, such as CKC-04. Letters, numbers, dashes and slashes.
- Between prefix and number: a dash, a slash or nothing.
- Number: random digits (harder to guess) or numbered in order (0001, 0002, ...).
- Digits: from 3 to 8. Four random digits give 9,000 different IDs.
The screen shows what an ID will look like before you save. Leave the prefix empty to keep membership IDs switched off.
Giving members their IDs
- Give IDs to members who have none: every active member without an ID gets one.
- New members get their ID automatically: the first time they open their card, and in any case overnight.
- Re-issue every member's ID: everyone gets a new ID in the current format. Use it once, when you first adopt a format. You must type RE-ISSUE to confirm.
When IDs are re-issued, each member's old number is kept as their previous number. Imports still recognise people by their old number, so spreadsheets made before the change keep working. Cards printed with the old number stop verifying when scanned. Nobody is sent a message when IDs are issued or re-issued.
Who can download their card
| Setting | What it means |
|---|---|
| Every active member (recommended) | All active members can download and print their card. The QR code shows their standing on the day it is scanned. |
| Only members with no overdue dues | A member with dues past their due date sees what to pay instead of the card. |
| Only members who owe nothing | A member who owes anything, even dues not yet due, sees what to pay instead of the card. |
Only dues, levies and other charges you assigned count. Optional items and purchases never do. A payment the member has sent proof of counts as paid while it waits for you to confirm it. Members who are not active never get a card.
Checking a card by scanning it
The QR code opens your association's verification page, which needs no sign-in. It shows the member's name, photo and membership ID, whether the card is valid, and whether the member is in good standing today. It never shows amounts or contact details. A card whose ID has been re-issued shows as replaced by a newer card. An ID typed in by hand does not verify, because the link carries a security key.
How the card looks
The front shows your full association name (it is never cut off), your logo, the member's photo, name, membership ID and the date they joined. The back shows the QR code, your message (for example "If found, please return it to the association"), the contact details you choose to show, and your signatory. Set these under Settings → ID Card. The card's colours follow your plan's custom branding: without it, the card uses your brand colour.
To give the front a finished look, switch on "Show a faded logo on the front of the card" under Settings → ID Card. Your logo is shown faded behind the text, on the right half of the card or in the centre, as subtle, soft or clear, in the logo's own colours (the default) or as one flat colour that matches the card's text. It is off until you switch it on, it never covers the text, and it needs an uploaded logo. One colour suits a simple line logo; a filled or detailed logo looks better in its own colours.
Members open their card from My Profile → ID Card. They can download it as a picture for their phone or print it at real card size (85.6 × 54 mm).
