Importing Members from a Spreadsheet
Bring in a whole member list, with the dates people really joined, from Excel or CSV.
Instead of adding members one by one, you can import your member list. It goes through the same safe steps as every import of past records: you upload, you see a preview, someone with approval permission signs it off, and only then are the members added.
Open Import Past Records
In the admin panel go to Finance, Import Past Records, and download the Members template.
Fill in the Members sheet
Required: First name and Surname. Optional: Email, Phone, Membership number, Member since (the date they really joined) and Status (active, pending, suspended or exited).
Upload and review
Choose Members, give the date the list was prepared, and upload. The preview shows how many people will be added, who already has an account, and any problems by line number.
Approve and apply
The members are added with their real join dates.
- Someone whose email already has an account on ZenithAMS is not linked behind their back. They are listed as awaiting acceptance: they are not yet a member, cannot be billed and are not emailed about dues. Press Send join requests on the import's page and they get one email asking them to accept or decline. Only they can accept; if they decline, no import will add them again. Someone already in your association is left alone.
- Dues history for a person who has not accepted yet waits: the rows for them are refused with the reason, and can be imported after they accept.
- A person with no email can be added, but cannot sign in until you record an email for them.
- The import itself sends no email. When you are ready, press Send login invitations on the import's page (or select people on the Members list). Each active member with a real email who has never signed in gets one email with a Set my password button and the steps to follow. The link works once and for 14 days, choosing a password also confirms their email address, and nothing is sent until your member portal is open.
- Your plan's member limit is respected: an import that would go over it is refused as a whole.
