Paid Events: Selling Tickets
How to charge for an event, what happens when a member registers, how seats are held and released, and how to handle guests and refunds.
Turn on 'Is paid' for an event and Zenith AMS sells its tickets for you: it creates the charge for each member who registers, takes the payment through the same routes as dues, and confirms the registration when the ticket is paid. Everything collected is tracked on the event itself.
Making an event paid
Open the event
In the admin panel go to Events & Communications, Events, and create the event or open an existing one.
Open the 'Registration & Fees' tab
Turn on 'Is paid' and enter the ticket price. Optionally enter an early-bird price and the early-bird deadline, and a maximum number of attendees.
Save
On saving, Zenith AMS creates a financial item called 'Ticket: ' followed by the event's name, linked to the event. You can see it under Finance, Financial Items, with the event shown in the 'Linked to' column.
What happens when a member registers
| Step | What the system does |
|---|---|
| The member clicks 'Register and pay' | Their seat is held (it counts toward the maximum attendees) and a ticket charge is created at the current price: the early-bird price until its deadline, the full price after. |
| They have not paid yet | They show as 'Awaiting payment' on the event's Registrations tab. An unpaid ticket never makes them overdue or affects their standing. |
| The payment is received | Online, by bank transfer once you approve it, by Receive Payment, or from credit: the registration is confirmed and shows as 'Paid'. |
| A payment is reversed | The registration goes back to 'Awaiting payment'. |
Seeing who has registered and paid
Open the event and use the Registrations tab. Each row shows the member, their status, whether the ticket is Free, Awaiting payment or Paid, the ticket amount and what has been paid. The 'Money: who has paid' tab lists every charge and can be filtered to those still owing, and the figures at the top of the page add it all up. See Tracking Money on an Event or Project.
Releasing a seat that was never paid for
An unpaid registration holds its seat, so a full event can be blocked by people who never pay. On the Registrations tab, click 'Release seat' on that person's row and confirm. The registration is removed together with its unpaid ticket charge, and the seat is free again. The action is not offered for someone who has paid, for someone already marked as attended, or while a payment from them is still being checked.
Guests who should not pay
For a speaker or an invited guest, have them register as usual and then waive their ticket from the member's ledger (open the 'Purchases and tickets' tab, or click the member's row in the event's finance list; you need the permission to waive charges, which Administrators hold by default). A waived ticket confirms the registration, is not counted as money you expect, and is shown as 'waived' in the figures.
Cancelling a paid ticket
A member cannot cancel a ticket they have paid, and you cannot release its seat from the Registrations tab, because the money has already come in. To cancel one, reverse the payment from the member's ledger, on its 'Purchases and tickets' tab (this needs the permission to refund payments, which Administrators hold by default): the registration goes back to 'Awaiting payment' and the money no longer counts as collected. Return the money to the member in the way you agreed with them, then release the seat.
Stopping ticket sales
Turn 'Is paid' off and the ticket item is switched off: no new tickets are charged, and charges already made stay on the books so nothing that was paid is lost. Turning it on again switches the same item back on. An event that was already marked as paid before this feature gets its ticket item the next time you save it.
