Tracking Money on an Event or Project
Read the figures on an event or project: what was expected, collected, still owed and spent, and who has paid.
Every event and project that has financial items linked to it shows its own money summary. You see it in the admin panel at the top of the event or project page, and administrators also see it in the member portal on the same page.
The figures
| Figure | What it means |
|---|---|
| Expected | What members have been charged on all the linked items, not counting waived charges. |
| Collected | What has actually been paid on those charges, however it was paid: online, by bank transfer, received by an administrator, or from credit. |
| Still owed | Expected minus collected, for charges that are not waived. |
| Spent | Expenses linked to the event or project that are approved, paid or reconciled. Draft, submitted and rejected expenses are not counted. |
| Net | Collected minus spent. |
| Members | How many members were charged, how many have paid something, and how many charges were waived. |
A project also shows its target and how far collected money has reached it. An event also shows how many people have registered, how many are still awaiting payment, and its capacity.
Who has paid
In the admin panel the 'Money: who has paid' tab lists every charge with the member, the item, the amount, what has been paid, what is left and the status. Filter it to 'Still owing' to see who to follow up. The 'Money: items' tab shows each linked item with its number of charges, what it expects and what it has collected. In the portal, administrators see the same on the event or project page: a Finance card with the figures, the items and a paged list of who has paid, with Everyone, Paid and Still owing filters.
Making spending show up
When you record an expense, use its 'Linked To' field to choose the event or project it was for. Only linked expenses count toward Spent and Net. This is how an event shows whether it made money: tickets and levies collected, less the hall, food and other costs.
In the reports
The event revenue report now counts money actually collected on every item linked to an event, and shows what is still outstanding. An older paid event that has no linked charges keeps the earlier estimate (ticket price multiplied by the attendees marked as paid), so past figures are not lost.
Who can see it
The summary and the list of who has paid are for administrators who can view finance reports. Other members never see them. A member sees only their own charge on an event or project: what they owe and a Pay button.
