Statements, Arrears and Payment Status
Read a member's statement, see who owes what and for how long, and understand the Paid, Partly paid, Overdue and Not yet due labels.
What the status labels mean
| Label | Meaning |
|---|---|
| Paid | Nothing is owed on the charge. |
| Overdue | Something is owed and the due date has passed (even if part has been paid). |
| Partly paid | Part has been paid and the due date has not passed. |
| Not yet due | Nothing paid yet, and the due date is still ahead. |
| Unpaid | Nothing paid, and the charge has no due date. |
| Waived | The charge was waived and owes nothing. |
The labels are worked out from the balance and the due date every time, so a part-paid charge is never just Pending. You can filter the Financial Assignments list by payment state.
Member statement
Under Reports, Member statement, choose a member (and optionally a start date) to see every charge with what was charged, what has been paid on it, what is outstanding and its status, followed by the payments received and what each was applied to. With a start date, the statement opens with one line: what was still owed on charges due before that date. Waived charges are listed but left out of the totals. Charges and payments that came from your old records are marked. Download it as a spreadsheet or a PDF to hand over.
Choose a To date in the past and the statement is rebuilt as it stood on that day: each charge as it was, what had been paid by then, and the closing balance on that date. The opening line is what was owed the day before the start date, and payments and changes on older charges during the period appear as one line, so opening plus that line plus the period's own outstanding always equals the closing figure.
If the member has credit on account, the statement ends with a Credit on account block: held at the start, received, used on charges, refunded, given as a donation, and held at the end. It sits beside what is owed and is never subtracted from it. A member who never had credit sees no such block.
Arrears ageing
Under Reports, Arrears ageing, every unpaid charge is placed in a band by how many days past its due date it is: not yet due, 1 to 30, 31 to 60, 61 to 90, or over 90 days. Group the report by due, by member or by billing period, limit it to one due, and choose any earlier date to see how things stood then: the balances are rebuilt from dated payments, reversals and waivers. Balances brought in from your old records age from their real due date when you gave one (see Bringing in Records from Another System). Credit held for members on that day is shown under the table, separate from what is owed. It can be downloaded as a spreadsheet.
